Acceptable Use Policy (AUP)

Effective Date: Oct 28th, 2025

This Acceptable Use Policy (AUP) forms part of the Terms of Service. It applies to all users of the Asaman platform, including schools, administrators, teachers, staff, parents, students, and external providers. Each user agrees to comply with this Policy by accessing or using the service.

  • Purpose
  • This Policy ensures that the Asaman platform is used safely, responsibly, and in accordance with the law. Asaman Technologies is committed to maintaining a secure environment that protects the privacy and dignity of all users.

  • Scope of the Application
  • The scope of this Policy applies to:

    • All Asaman web and mobile applications.
    • Any communication channels (messages, notifications, or attachments) within the Service.
    • Any data uploaded, shared, or stored by the users.
  • User Responsibility
  • The responsibilities for each user include:

    • Use the Service for Legitimate Educational & Administrative Purposes
      • The platform is designed to manage extracurricular programs, registrations, payments, attendance, and related communication.
    • Protect Login Credentials
      • Do not share passwords or authentication codes with others.
      • Notify your School or Asaman support immediately if you suspect unauthorized access.
    • Respect Privacy & Confidentiality
      • Do not access or attempt to access another user’s data.
      • Do not share or disclose student or family information outside authorized school channels.
    • Use Appropriate Language & Behavior
      • No bullying, harassment, discrimination, or hate speech.
      • No content that is obscene, threatening, defamatory, or otherwise inappropriate.
    • Upload Lawful & Relevant Content Only
      • Do not upload materials that infringe copyright, violate privacy, or contain malware or harmful code.
      • All uploaded content must relate to legitimate school activities.
    • Comply with Data Protection Laws
      • Schools must ensure that all personal data processing complies with applicable laws (GDPR, FERPA, COPPA, PIPL, PDPA).
      • Parents and students must follow their school’s policies regarding consent and participation.
  • Disallowed Uses
  • The platform should be utilized in the most beneficial and positive ways possible. Users should not:

    • Use the Service for commercial advertising, political campaigning, or solicitation unrelated to school activities
    • Upload or transmit viruses, malicious software, or automated scripts
    • Attempt to disrupt, overload, or gain unauthorized access to the platform or its servers
    • Reverse-engineer, copy, or modify any part of the Service without written permission from Asaman
    • Collect or harvest data about other users for external use
    • Use the Service in any manner that violates local, national, or international law
  • Safeguarding & Child Protection
  • Asaman places the highest priority on child safety.

    • Schools are responsible for verifying parental or guardian consent for any student accounts.
    • Teachers and staff must immediately report any suspected misuse, inappropriate communication, or safeguarding concern to their school’s designated Safeguarding Lead and Asaman support.
    • Asaman reserves the right to suspend or restrict access pending investigation of safeguarding incidents.
  • Platform Monitoring
  • To maintain the integrity of the services:

    • Asaman may monitor usage patterns, log access attempts, and scan uploaded content for security and compliance.
    • Monitoring is limited to operational and safeguarding purposes only, and always follows Asaman’s Privacy Policy.
  • Breach of Policy
    • By Individual UsersIf a user violates this Policy, Asaman or the School may:
      • Issue a warning
      • Temporarily or permanently suspend the account
      • Remove or restrict offending content; and/or
      • Report unlawful activity to the relevant authorities
    • By Schools or ProvidersSuppose a School or external provider fails to enforce compliance or engages in misuse. In that case, Asaman may suspend or terminate service access after written notice and an opportunity to remedy the breach.
  • Liability
    • Schools are responsible for all actions taken by their authorized users under their institutional account.
    • Each user agrees to indemnify and hold harmless Asaman Technologies Ltd. against any claim or loss arising from misuse of the Service or violation of this Policy.
  • Policy Updates
    • Asaman reserves the right to revise this Policy from time to time.
    • Updated versions will be published at www.asaman.net/terms-and-policies.
    • Continued use of the Service constitutes acceptance of any updated Policy.

    Governing Law: This Policy is governed by the laws of Singapore, and any dispute shall be subject to the exclusive jurisdiction of the courts of Singapore.
